Smartsheet Pricing Explained (2026): Members, Provisional Seats and Add-ons
Listen

Smartsheet's pricing page shows Pro at $12 per member a month and Business at $24, with $9 and $19 under the yearly toggle; Enterprise and Advanced Work Management are priced by sales. What a team ends up paying depends on three more things: which plan its size allows, who becomes a paid seat, and which add-ons it needs. Here they are, using only Smartsheet's own pricing page and help articles as of October 30, 2026.

1. Plans and Team Size

Pro is for 1 to 10 members with unlimited Contributors, and is only available to new customers. Business is for 3 or more members with unlimited Guests and Contributors, and Enterprise starts at 10 or more. So an 11th member means Business. At 5 members, Pro is $60 a month at the monthly price or $45 on yearly pricing. At 12, Business is $288 a month at the monthly price or $228 on yearly pricing. Business also raises storage from Pro's 20 GB to 1 TB and automations from 250 a month to unlimited.

2. Who Becomes a Paid Seat

Members are paid. Contributors are free and can view, comment and handle attachments but cannot create or edit items. Guests, people outside your email domain, are free on Business and Enterprise but not available on Pro. The seat to understand is the Provisional Member: when someone without a paid seat takes their first qualifying action, Smartsheet gives them full Member access at no cost until the end of the billing cycle. By default they are then downgraded to Contributor or Guest; if a System Admin has set provisional members to auto-upgrade, the cost of extra seats is added to the next bill or invoice.

3. Add-ons

Several capabilities are add-ons with a starting price. Dynamic View starts at $125 a month and Data Shuttle at $100 a month, both for Business and Enterprise. Resource Management, which is where Smartsheet places time and expense tracking, is an add-on for Business and Enterprise with no published price; the page asks you to request a demo. Control Center, Brandfolder, Bridge and several connectors are also listed without prices. Smartsheet's AI page says no separate add-on is required for most AI capabilities, with limits that vary by plan.

4. The Same Teams Elsewhere

monday work management lists Basic at $9, Standard at $12 and Pro at $19 per seat a month billed annually, from 3 users, with time tracking on Pro. Asana lists Starter at $10.99 per user a month billed annually and Advanced at $24.99, with native time tracking on Advanced. Kavanah has one kind of seat, the workspace member: Basic is $3 a seat a month ($2 billed yearly) and Pro is $6 ($4 yearly), with no seat cap, so 12 people on Basic is $36 a month. Time tracking and the client portal are included on every plan, and portal clients are not seats. Pay as you go drops the seat fee entirely, with AI credits in packs from $10 per 1,000.

5. How to Price It Honestly

Count three groups of people: those who create and edit, those who only view or comment, and outside guests. Price the editors at next year's headcount, check whether that headcount forces a plan change, and decide your provisional-member policy before the first invoice rather than after. Then add every add-on you would really use, with a quote for the ones that have no published price.

Smartsheet's bill is predictable once you know who will become a Member and which add-ons you need. For the full comparison of Kavanah, Smartsheet, monday work management and Asana, see our Smartsheet alternative page.
