The procurement-format rate card for Kavanah — list prices by edition, what a billable seat is, how AI credits are metered and purchased, and how billing works.

1. Editions and list rates

Rates are per billable seat, per month. The yearly column is the effective per-seat monthly rate when an edition is billed annually. Enterprise is quoted per customer — see section 6.
2. What a seat means
A billable seatis one active member of a workspace. A workspace is charged its edition's per-seat rate multiplied by the number of active seats in the workspace, so the bill scales one person at a time rather than in bands.
- Seats are uncapped on paid editions. Basic and Pro have no member limit; the editions differ by feature set, project and storage limits, and included AI credits — not by headcount. The free Starter edition is limited to 5 members.
- Client-portal users are not seats. People invited through the client portal are external stakeholders with their own accounts, scoped to the projects shared with them. They are not workspace members and are not billed as seats.
- Seat changes follow the workspace. Adding or removing members changes the billable seat count for the workspace; billing is per workspace, not per user across workspaces.
3. AI credits
AI usage is metered in credits, a single workspace-level balance. Each paid edition includes a monthly allowance of credits per seat (Basic 100, Pro 250); the free Starter edition includes 100 credits per month for the whole workspace. Agent runs and storage overage draw against that balance.
Credits pool at the workspace level rather than being ring-fenced per member, so a team that uses the agent heavily in one function is not blocked by a per-person cap. Additional credits are purchased in packs at any time:

Credit consumption is metered against model tokens at runtime, so the credit cost of a given action varies with its size. Roughly $0.01 per credit is the published retail rate. If a workspace exhausts its balance, AI features pause until the allowance renews or more credits are purchased — boards, tasks, chat, time tracking, and the client portal are unaffected. 4. Billing terms
Payment and invoicing
Monthly billing is self-serve by card through our payment provider, charged in advance for the coming month. Annual billing and invoicing are arranged through sales rather than self-serve — start at /contact. Payment terms, if any, are those set out in the executed order form.
Plan changes
Upgrades take effect immediately, and downgrades are prorated. A workspace can change or cancel its edition from Settings → Billing at any time; when a paid edition ends, the workspace moves to the free Starter edition and workspace data is retained.
Currency and tax
All list prices are in US dollars and are exclusive of taxes. Any sales, use, VAT, GST, or similar taxes are the customer's responsibility unless the order form states otherwise. Where a local currency is supported at checkout, the charged amount is the configured local-currency price for that pack or edition.
5. Worked examples
List cost at common team sizes, computed from the per-seat rates in section 1. Yearly figures show the effective monthly cost with the annual total in parentheses.

Included AI credits scale with seats on the same basis. A 25-seat workspace includes 2,500 credits per month on Basic and 6,250 on Pro; a 100-seat workspace includes 10,000 on Basic and 25,000 on Pro. Additional credits, if needed, are purchased in the packs above and are not part of the recurring subscription figure.
6. Enterprise
Enterprise is priced on request. A custom quote can cover any of the following:
- Annual invoicing and purchase-order handling.
- Volume per-seat rates and a custom AI credit allowance.
- Negotiated SLA and data processing terms, including standard contractual clauses.
- A HIPAA business associate agreement.
- Security-review support — questionnaire responses, artifacts released under NDA, and architecture walkthroughs. Start at /rfi and /trust.

7. Included at every edition
The following are part of the platform on every edition, including the free one. They are never sold as a separate add-on:
