AI Employees
On the AI Agentpage you can create configurable agent personas — AI teammates with their own name, role, personality, model override, capability scope, and member access list. Build a Chief of Staff who handles everything, a Bookkeeper restricted to finance tools, or an Analyst the rest of the workspace can't chat with.
Building a persona
- Name & role — give them an identity (e.g. a Chief of Staff, an Analyst, an Executive Assistant).
- Personality & instructions — free-form guidance that shapes how they talk and what they focus on.
- Model — leave on the workspace default or pick a stronger model (Opus) for heavier roles and a faster one (Haiku) for quick tasks.
- Avatar — upload a photo, generate one with AI from a visual description (the prompt is saved so it re-renders on edit), or fall back to a colored badge from their initials.
- Reports to — put it in the org chart under another employee (or Nobody (top of the chart)). Its instructions then name its manager and direct reports, so it escalates and hands off instead of doing everything itself.
- Know-how, Vision and Negation— its own KVN contract, layered over the workspace charter. It can add hard nos, never remove the workspace's. Security guardrails and Enforced guardrail rules are standing rules it cannot be talked out of.
- Voice — the voice it speaks in when you talk to it out loud.
Capability scope
Restrict a persona to specific capability groups so it can only use the tools it should. The ten available scopes are Tasks & projects, Chat & discussions, Email & calendar, Developer & GitHub, Workflows & automations, Reports & analytics, Clients & deals, Knowledge & files, Finance & accounting, and Administration. A new persona starts with four of them — Tasks & projects, Chat & discussions, Reports & analytics, and Knowledge & files — whether you create it here, ask the agent to create it in chat, or create it through the API. Check more to widen its reach, or choose Allow everything to let it use every workspace tool.
Member access
By default every workspace member can chat with a persona. Turn on Restrict accessand pick a member list to scope it further — useful for executive-only assistants or per-team analysts. Workspace admins can always reach restricted personas; non-admins won't see ones they aren't allowed to chat with.
Working with them
Open the roster from the AI Agent page (the ⋮ menu in the chat header → AI employees), then Chat with any persona to start a fresh conversation in that role; its avatar signs every reply. Edit, turn off, or delete personas from the same roster as your needs change. A persona that is turned off keeps its settings but stops chatting, working assigned tasks, running schedules and joining meetings until you turn it back on. Conversations survive a persona being deleted — they detach cleanly and fall back to the default agent.
- The roster has three views: Roster, Org chart (who reports to whom), and This week (what each employee did in the last seven days).
- @mention one — start a chat message with
@and its name to switch to it (in a new conversation), or @mention it in a task comment or discussion post and it answers there, signed as "Name (AI)". A name that matches a real member always means the person. - Assign it a task — AI employees appear with a ✨ in every assignee picker. Once an admin turns on AI employees work their assigned tasks(Settings → AI Agent → Agent Oversight; off by default, because each assignment is an unattended run), the employee starts working the task as the person who assigned it, within its own scopes and that person's autonomy level. While it is off, the assignment is only a label.
- Asking a person to decide — with Daily decision window for approval requeststurned on (same section, costs nothing), an employee that needs a human decision asks on the task's Approvals section instead of filing new tasks; each reviewer gets one digest a day, and only a person can approve.
- Elsewhere — give one a schedule with Run as on Scheduled Runs, seat several at a boardroom on Exec Meetings, put two to four in a debate on the Water Cooler, let one answer people in your Slack (Settings → AI Agent → Slack managers), or talk to one from Telegram with
/talk <name> (/talk off to go back).
Creating or editing personas (including the member access list) is a workspace-admin action; chatting with an unrestricted persona is open to every member. Custom webhook tools are excluded from a persona's toolset when explicit scopes are set, so a restriction means exactly what it says.
