Client Portal

Give a client's people a window into the projects you run for them. Portal users sign in at /portal with their email and a password of their own — they do not need a Kavanah workspace seat.

What clients see

A portal user sees every project whose Linked Client is their company, unless that project is archived, hidden or private. For each of those projects:

A summary — progress, open task count and due date — and, on the portal home, project, open/in-progress and in-review counts across their account.
The project's tasks — every task that is not archived or restricted — with status, priority, assignee and due date.
The project's files, which they can download, and an upload box for sending you files (up to 25 MB each).
Approve / Reject buttons, with an optional comment, on each task and file.
The project's most recent discussion threads, and project-wide notifications (notifications addressed to named members stay internal).
Messages with your team, when you have turned their messaging on.

There is no per-task "client-visible" flag: everything on a project linked to the client is visible to its portal users, except a task you restrict. To keep one task internal, open it and turn on Restrict this task. To keep a whole body of work internal, keep it on a project that is not linked to the client, or make the project private. Time entries, budgets and invoices are not shown in the portal.

Linking a project to a client

Open the project's settings on the board and set Linked Clientto the client's account. The project then appears on that account's Projects tab and in its portal.

Giving someone access

1Open Clients and click the company name to open the account.
2For the account's primary contact you can instead use Enable portal (and Enable messaging) on its Overview tab; for anyone else, go to its Members tab. If the person is not listed, press Add Member and save their name and email.
3Press Portal on on their row. Press Msg on as well if they may message your team from the portal; the message icon on the row opens a chat with them once they have signed in.
4Turning the portal on emails anyone who has not signed in yet an invite — a link to choose a password, valid for 7 days. If it expired or got lost, press Send invite on their row (or on the Overview tab for the primary contact).

Portal off removes access and signs them out of any open portal session immediately.
