Team Collaboration
Kavanah is built around the assumption that work happens with other people. Chat, discussions, mentions, and notifications all flow into one shared activity stream.
Chat
Direct messages and group chats live in Messages, grouped with Email Inbox and Requests under the Inbox popout in the sidebar. Threads are persistent, support file attachments, and respect the same do-not-disturb and notification preferences as the rest of the app.
Email Inbox
The Email Inbox shows Gmail, ProtonMail, Outlook and iCloud in one view — switch providers with the tabs at the top of the inbox. Compose (To, Cc, Bcc, Subject, Message) and reply from there. To send something later, ask the AI agent to schedule it; scheduled mail goes out within a minute of its time.
Discussions
Discussions are project-scoped, threaded, and longer-form than chat. Use them for design reviews, post-mortems, and decisions you want to be able to find later.
Mentions & notifications
- Type
@name in any comment or discussion to notify a teammate. - Notifications surface in the bell icon, on a desktop badge, and (optionally) by email. On a phone the bell sits in the top bar with the unread count, so it is one tap from any page.
- Every notification card has an Open button that takes you to the task or project it is about — and it still works after the task has moved to another project. A task that was deleted or archived says so instead of opening nothing.
- The app-icon badge (iPhone home screen, Mac dock) counts only what you can clear by reading — unread messages, unread synced mail, and unread notifications — across every workspace you belong to. If the number is bigger than what you see, the top of the Alerts page names the other workspaces holding the rest.
- Each member can turn on a Notification Digest — hourly, daily or weekly, at a delivery time they choose — and set quiet hours, per-channel categories and muted threads from Settings → Notifications.
Roles
- Owner — full control of the workspace, billing, and member roles.
- Admin — manage projects, clients, tasks, and invite members.
- Member — work on assigned projects; cannot change billing or workspace settings.
- Guest — a time-limited invite for someone outside the team.
- Custom roles — build your own under Settings → Permissions → Roles. Clients are not workspace members at all; they use the separate client portal.
Bulk invites are supported. On People, click Bulk Invite (it needs at least one team to exist), enter up to 50 rows or Upload CSV (email, plus optional name, role and projects, projects separated by semicolons), and Kavanah validates, deduplicates and sends them in one round-trip. Projects you pick for someone are theirs as soon as they accept. A pending invite holds a seat, so a batch that would take the workspace past its seat limit is refused whole, before anything is sent, with a count of the seats that are free. People already in the workspace are skipped and use no seat.
