The Deal Blotter

A Deal Room view that turns what has happened in your mail into a ranked board of revenue-generating emails, tracks your Blue Chips with a close probability and the reasons behind it, and lets you send each email from your own Gmail with one confirmation. Nothing is ever sent without you pressing Execute.

Turning it on

Deal Room → Blotter. An admin turns it on in Settingsand sets what every email carries: the net fee % the firm keeps (87.5 when a broker-dealer of record takes 12.5%), the close horizon (Dec 31 unless set), addresses copied on every email, the CAN-SPAM block for cold first emails, the desk's drafting rules in its own words, and whether each sender's live Gmail signature is appended. Each member sets their own sign-off line.

Close pipeline, Grow pipeline, Engage and Refresh each call a model and are billed to whoever presses them. Automatic Blue Chip refresh is a separate switch, off by default.

The four pages

Tasks — the board

Every email a Play wrote, best expected value first. Each card shows its EV basis (the net fee, stated or modeled, times the probability lift that one email causes), its class — Revenue, Option, Preservation or Logistics — the focused minutes it takes, and its EV per focused hour against your baseline. Edit any email before it goes. Execute sends it from your Gmail on its thread and credits its EV — a cold first email always goes with the CAN-SPAM block, even if an edit removed it, and an email to a colleague is never treated as cold; Reject asks why, and the next batch treats your reason as a rule, and a rejected task shows the reason you gave. A drafted task links to your Gmail Drafts. Mail you send from Gmail yourself is picked up and credited too. Below the board, Intel the next batch reads lists the research and notes saved from chat that Grow reads with your mail.

  1. 1Close pipeline— for every sell-side Blue Chip with supply on file, a welcoming, no-terms email to every buy-side contact on the deal's mail in the last year (including people pitched who never replied), one per firm, saved to your Gmail Drafts. A first introduction asks what the all-in price would need to be; someone already written to gets a short "still live?".
  2. 2Grow pipeline — reads your mail, Drive and saved intel since the last Play and writes the batch of emails (ten by default) that generate the most revenue now: Blue Chips first, only where the ball is with you, at most two per deal.

Blue Chips

Deals that are marquee, concrete and lucrative, judged from the mail by Refresh Blue Chips — or added and removed by hand, which no refresh ever reverses. Rows with a buyer at verbal are green and sit at the top. Each row has a Why: every signal with its quote, every buyer's score, the biggest lever and the most likely failure. Engagedrafts a personal reply for each Blue Chip's most likely buyers into your Gmail Drafts. The quarter's expected revenue sits beside it ("Q4 expected revenue") — to signed documents; cash realizes later, at funding. Every change a refresh makes is listed with the quote it came from, a link to the Gmail thread, and Revert.

All Deals and Opportunities

All Deals is every client and deal, live, cooling, closed or dead, with the same detail; deals with a buyer at verbal sit at the top here too. Opportunities is a short list of firm-level plays the desk curates by hand.

A deal

Click any deal to open it in place — the back arrow returns to the tab you came from. It shows everyone engaged on the deal, the Why behind its probability, your open tasks on it and every change on the row. Edit detailssets the supply, side (sell or buy), size / terms, next action and deadline; each edit is logged and can be reverted like a refresh's. Close pipeline works only sell-side Blue Chips with supply on file, so set these there.

The no-replica rule

Nothing the Blotter drafts or sends may repeat what you sent that person in the last 72 hours, on any thread. Before Engage or Close pipeline drafts for someone, it reads your sent mail to them from the last 72 hours and is told to say only what is new; a line that still repeats is removed, and someone with nothing new to be told is not drafted (the run says how many). At Execute — which covers Grow pipeline and emails written in chat too — the email is checked again: repeated lines are taken out and the cleaned email is shown to you with the removed lines struck through, and nothing is sent until you press Execute again; an email with nothing new is not sent at all. If your sent mail cannot be read, nothing is drafted or sent. A line repeats when most of its words (60%) match one of your sent lines, or when all of its numbers appear in your sent mail and over a third of its words match. Greetings, your sign-off, the CAN-SPAM block and plain thank-yous never count.

How the numbers are built

  • Close rate by stage is measured from your own counterparties, steadied by a starting estimate while closes are few; the weakest step in the funnel is flagged.
  • Close probabilityis the chance of signed documents by the horizon: the deal holds together × at least one live buyer signs, bounded 2–60%. One average verbal buyer lands exactly on the measured Verbal rate. A refresh moves a deal's number a bounded step at a time.
  • Buyers count only when their interest shows up in email; commitments by phone or text are not counted.
  • Every change a refresh makes is logged with the email it came from and can be reverted, and every prediction is kept so the model can be checked against what happened.

From chat

Ask the agent for your Blue Chips, your board, or the Why behind a deal; to run a Play; or to put emails it wrote in chat onto your Tasks board so they can be reviewed and executed there. Its answer carries a live card: your open tasks — open, edit, reject or send each one, with the same confirmation as the board — or your Blue Chips. It sends an email only when you ask it to send that task; when the no-replica rule removes lines it shows you the cleaned email first. An admin can set the Blotter up from chat.
